Hotels and villas
AI for hotels and villas
from the first message to check-out
A villa enquiry that waits until morning is usually somebody else's booking. This is what I build for a hotel, a homestay or a villa collection.
Most direct enquiries for a hotel or a villa arrive in the evening, in the owner's personal WhatsApp, with the same three questions. Is it free, what does it include, and can we bring a dog. By morning the guest has booked elsewhere.
I build the part that answers at the moment it is asked. An Agent on your own business number replies with availability, what the place includes and the house rules, holds the enquiry against a date, writes it into your own sheet and chases the ones that went quiet. Everything it sends is wording you approved, and it hands anything unusual to a person.
The evening enquiry gets answered
Availability, what is included, the house rules and the arrival details, sent from your own number while your reservations person is asleep.
Direct bookings get a record
Guest name, dates, rooms, what was promised and what is still owed, written into one sheet instead of being reconstructed from a chat later.
Arrival information goes out on its own
Directions, the gate, the caretaker's name, when check-in opens and what to bring. Sent before the guest asks, which removes most of the calls on the day.
The handover between shifts
Housekeeping notes, breakfast numbers, a tap that needs fixing and the guest who asked to leave late, written down from one voice note when the shift changes.
The question before the booking
Guests ask what the pool looks like in February and whether the third bedroom is really a bedroom. A 360 walkthrough answers that better than a brochure.
Guest records stay with you
Identity documents, phone numbers and the guest list are what you should keep off a public AI tool. On your own hardware they never leave the property.
Why a direct enquiry ends up as somebody else's booking
Hotels and villas lose direct business in a very specific place. The enquiry arrives outside working hours, on WhatsApp, often from a guest comparing three properties in the same half hour. Whoever replies first, with the clearest answer, usually gets the booking. A reply the next morning, however warm, arrives after the decision.
The second place it breaks is the record. A booking that lived in a chat has no row anywhere. Nobody is certain whether the extra bed was promised, whether the advance came in, or whether the guest was told the kitchen closes early. Then the guest arrives, repeats what they were told, and the team on the property has no way to check.
The stay itself, and the handover nobody writes
On a villa or a small property the operational knowledge sits with one or two people. The caretaker knows the geyser, the housekeeper knows which room smells after rain, the cook knows this family does not eat onion. None of it is written anywhere. When that person takes a day off, the next guest discovers it for you.
So the second build is usually the shift handover and the day log. One voice note as the shift changes becomes the written record: breakfast numbers for tomorrow, maintenance to raise, what this guest asked for, what was promised. The owner reads one short summary in the evening instead of making nine calls.
Season, long weekends and the rate question
Occupancy in this trade is lumpy in a way no office business would recognise. December into January, a long weekend that starts on a Friday, a festival, a wedding that takes the whole property, and then a monsoon stretch where the staff are still paid and the enquiries dry up. Rates move with all of it.
I do not let an Agent quote a rate on its own. It answers availability and inclusions, and it asks a person for a number on anything outside the rate sheet you gave it. In peak season that keeps you from underselling the property. In the quiet months the same Agent is the thing still following up on enquiries from last season, which is where repeat business actually comes from.
Answer the enquiry, and then the arrival
Answer the enquiry first. Everything else in hospitality is downstream of the first reply. Once the enquiry is answered and recorded, the next most valuable thing is the arrival message, because it removes a surprising number of phone calls on the day of arrival and it makes the property feel organised before the guest walks in.
- One Agent on the property's own WhatsApp number
- One row per enquiry and per booking, in a sheet you own
- An arrival message with directions, gate and check-in details
- A shift handover and day log from a voice note
- A 360 walkthrough of each room on the booking page
- A short evening summary for the owner
Where these systems sit in a hospitality business
The enquiry side is a WhatsApp Agent. The booking page and the enquiry form behind it are websites built with AI, and the room tours are 360 walkthroughs. Rosters, attendance and leave for housekeeping and kitchen teams are attendance, leave and daily work.
Forsyth's Homes is a private villa collection of eight homes in six places. I built their site and the enquiry system behind it, and ran the photography pipeline. The booking system I use for my own calls is live on the projects page. You can book a slot through it yourself, and it is the same mechanism a property would use for tours.

Questions people ask
Can an AI Agent answer guest enquiries on WhatsApp?
Yes, on the property's own number. It answers availability, inclusions and house rules from what you gave it, records the enquiry, and passes anything it cannot answer to a person. Rates outside your published sheet go to a person to confirm.
Will it take bookings and payments?
It can hold a date, collect the details and send your payment link for a person to confirm. I do not have an Agent take money on its own, and anything that changes a booking is approved by your team first.
We are a single villa, not a hotel group. Is this worth it?
Often more so. A single villa or homestay has no reservations team, so the enquiry waits on one person's phone. The smallest useful version is one Agent answering enquiries and writing them into a sheet, which an owner can run alone.
Does this replace our booking engine or channel manager?
No. It sits in front of the guest and behind your team. If you already use a booking engine or a channel manager, the Agent reads and writes where it is allowed to. Direct WhatsApp enquiries are usually the part nothing else is handling.
Can it write the housekeeping and maintenance log?
Yes. One voice note as the shift changes becomes the written handover: breakfast numbers, maintenance to raise, what the guest asked for. The owner gets one summary in the evening instead of ringing round.
What does AI for a hotel cost?
After the audit you get a quote with the machine, the systems and the handover named in it. The number moves with how many properties and rooms are involved, and with how much of your enquiry history exists in writing today. You pay for the build once, and nothing per room.
Do you build an AI concierge that calls guests?
No. I do not sell voice or calling Agents. Everything I do for a property happens in writing, on WhatsApp, on your site and in your own records, so there is a readable log of what a guest was told.
Can a guest see the room before booking?
Yes, with a clickable 360 walkthrough on your booking page. The guest opens it on a phone, walks through the rooms and sees the view from the terrace. It answers the questions people usually ask by message before they commit.
