AI Agents for small businesses
and the jobs they actually do

An Agent is a program that understands what you asked, does the work inside the apps your team already uses, and writes down what it did. Here is what that looks like in a real office.

Most owners have heard the word and still cannot picture the thing. An AI Agent is a program you send a message to. It reads the records you let it read, does the job, and writes down what it did.

This page is the plain version. It lists the jobs an Agent does well in a small or mid-sized Indian business, the places it can live, and the work where it is the wrong tool. If you already know which job you want done, the related pages at the end go into detail. If you do not, read the cards below and pick the task your staff complain about most.

What an Agent does, trade by trade

The work an Agent takes over is almost always the writing, the chasing and the re-typing. Nobody enjoys it and nobody checks it. The shape is the same across trades and only the vocabulary changes.

Some trades have a page of their own, written in their words, including real estate, manufacturers and schools and preschools. Each one says what a business of that kind usually asks for first.

  • A manufacturer: shift reports, dispatch records, and the status question a buyer asks every afternoon
  • A builder or developer: site updates, enquiry follow-up, and the drawing that should have reached the architect
  • A design practice: revisions, approval chasing, and client messages arriving in four different places
  • A school: the daily note to parents, written from what the teacher actually said
  • A hotel or villa: enquiries, rate questions and tomorrow's arrival list
  • An events or wedding firm: vendor confirmations, and decisions that currently live in a group chat
  • A trading or distribution firm: order entry, stock questions, and the entry written into your accounts software

Where the Agent lives, and why that matters

The Agent goes into the apps your team already has open. WhatsApp, a team chat on Discord, email, Google Sheets, Google Drive, Google Calendar and Notion, and, where a build scopes it, accounts software including Tally. Nobody is handed a new screen to log into, which is the reason these systems survive past the first month.

Most Indian businesses run on WhatsApp, so that is usually the first surface. There is a page on an Agent that works on your own WhatsApp number if that is where your work already happens.

Choosing which Agent to build first

Three tests, in this order. Does the task happen every day or every week. Does it come out the same way each time it is done properly. Does somebody complain about it. A task that passes all three is a good first build, and the first build should be small enough that one team can live with it before the rest of the company sees it.

If you cannot pick, that is what the audit is for. It maps how work actually moves through your office and comes back with a build list in order, along with a list of things to leave exactly as they are.

Jobs I would not give an Agent

Work that already runs well is left alone. If your drawing approvals work, they stay as they are. Judgement calls stay with the person paid to make them, and anything that needs a relationship stays with a human being.

There is one more case worth saying out loud. If a record only exists on paper or in somebody's head, an Agent has nothing to read. Getting that record into a sheet is cheaper work, and sometimes it is the whole job.

How a build like this is quoted

There is no rate card. Two offices with the same headcount can need completely different builds, so the quote follows the audit and names the jobs being built, the apps being connected and what the handover includes. The schedule comes with it.

Four things move the number: how many jobs you want done, how many systems have to be connected, how much of your record keeping is still on paper, and whether the Agent runs on an outside model or on a machine in your office. There is no monthly software subscription on what I build. What AI costs a small business explains how to read two quotes that look nothing alike.

How it runs

  1. 01

    Pick one job

We choose a single task your team does every day and agree what a finished, correct version of it looks like.

  2. 02

    Audit

I sit with the people who do that job and map how it moves today, including the parts that should be left alone.

  3. 03

Build it and run it live

I build the Agent and run it with one team on real work until it survives a normal week with nobody watching it.

  4. 04

Hand over, then the next job

Training in person, then the code and the accounts in your name. Only after that do we look at the second job.

Questions people ask

What can an AI agent actually do for my small business?

It does the written work around a job that is already happening: the report, the register, the follow-up message, the filing, the answer to a question somebody has to dig out of a sheet. It works inside WhatsApp, a team chat, email or a sheet, and it asks before it changes anything.

How much do AI agents cost for a small business in India?

It is quoted per project after the audit, because the same request can mean one Agent or seven. The quote names what is built, what it connects to and what the handover includes. There is no monthly software subscription, and care afterwards is quoted separately and can be stopped.

Will my staff have to learn a new app?

No. The Agent sits in the apps they already use, so a supervisor carries on sending the same WhatsApp message he sends today. At my own studio eighteen people use these systems every day and none of them sat through a training session.

How is this different from the scripted assistant on a website?

A scripted assistant follows a menu somebody wrote. An Agent reads what you said in your own words, decides what to do, does it in your real records and writes down what it did. An Agent and a scripted assistant are not the same goes through the difference properly.

Can an Agent write into our accounting software?

Accounts software, including Tally, can be connected as part of a build, so an entry made in a chat ends up in the books rather than in somebody's notebook. I have not built a Tally connection for a client yet. Which direction it writes, and what needs a person to approve it first, is decided during the audit.

What happens when the Agent gets something wrong?

Anything that changes a record or sends a message outside the company is confirmed by a person first, so a mistake is caught before it lands. Every action is written into a log with the record it touched, which is how a wrong answer gets traced and fixed.

Do we need our own server to run AI agents?

Not always. An Agent can call a model over the internet, which is simpler to start with. If your records must not leave the building, it runs on a private AI server in your own office instead. The audit says which one your case needs.
