AI for schools and preschools
and the hour after the last bell
Teachers should not be writing parent updates at nine at night. This is what I build for a school or a preschool so the day writes itself up.
In most schools the teaching ends and the typing begins. A class teacher who has been standing all day writes the parent update, the incident note and tomorrow's plan, usually at home. Parents still ask what happened today.
I have built this for a preschool with two branches. A teacher sends one voice note at the end of the day and the Agent writes each child's evening report in the school's own words, ready for a teacher to read before it reaches the parent. It is built so the records sit on the school's own accounts and its own machine, which matters more for children than for anything else.
The evening report from one voice note
A teacher says what happened. The Agent writes a separate, specific note for each child in the school's own tone, and a person approves it before any parent sees it.
Parents ask the school, not a teacher
Timings, holidays, fee dates, what to send tomorrow, what the child ate. Answered from the school's own records on WhatsApp, with anything sensitive passed to a person.
Admission enquiries stop leaking
Every enquiry, from the gate, the website or the number on a hoarding, lands in one list with the parent's question written down and a next step against it.
Staff attendance and leave
Teachers, helpers and drivers, and the substitution that follows when somebody is absent. Off paper, on the school's own system, visible to the head before assembly.
Circulars without the group chaos
One circular written once goes to the right classes and is filed where the office can find it again, instead of being retyped into six parent groups.
Children's records stay in the school
Photographs, notes about a child and parent phone numbers sit on a computer in the school office. No outside AI company gets a copy and none keeps one.
The hour after the last bell
The hour after school is where a teacher's goodwill is spent. The day is over, the children have gone, and now there are twenty-odd individual notes to write, each one supposed to sound personal and not like the one above it. Teachers do it, and they do it well, and it is the single most reliable cause of resentment in a preschool or a primary school.
The failure is predictable. Notes get shorter and more general as the term goes on. A parent notices that her child's update reads the same as her neighbour's. The head of school then spends her own evening rewriting other people's notes. None of that is a teaching problem.
Admission season, and the enquiry nobody answered
A school's year has one commercial season. Enquiries for the next academic year cluster months before the term starts, and they arrive as walk-ins at the gate, calls to the office number, forms on the website and messages to whoever the parent found first. The person answering is usually the front-desk administrator, during school hours, while also signing in late arrivals and taking a call about the bus.
So enquiries get answered unevenly. A parent who messaged on a Sunday hears nothing, visits the school down the road on Monday and is enrolled by Wednesday. An Agent on the school's own number answers that first message, gives the timings and the fee information the school allows it to give, offers a slot for a tour from the head's own calendar, and leaves a record the office can work through in the morning.
Records about children, and where they sit
Schools hold the records people worry about most. Photographs of children, notes on behaviour and learning, medical and allergy information, home addresses and a parent's phone number. Most AI tools send whatever you type into them out of the building to be processed by a company you have no relationship with.
That is the main reason I build for schools on a computer in the school's own office. The model runs there, the reports are written there, and the chat history stays there. India's Digital Personal Data Protection Act 2023 has made parents and trustees ask where this material goes. I am not a lawyer and this is not legal advice. What I can give you is a written description of which records the system reads, which machine they sit on and who can reach them.
What to fix first in a school
Start with the evening report, because it is the one thing every teacher will thank you for and the one thing parents notice immediately. Admission enquiries come second, because that is where the fees are. Staff attendance and leave come third, because they are easy and they free the office up.
- The evening report, from one voice note per class
- A teacher reading and approving every note before it goes out
- One list for every admission enquiry, with the next step on it
- Tour slots booked from the head's own calendar
- Staff attendance, leave and same-day substitution
- Circulars written once and filed where the office can find them
The systems behind the school work
The evening report is reports from a voice note. The parent and enquiry side is a WhatsApp Agent on the school's own number. Staff records are attendance, leave and daily work. Where the trustees want all of it inside the building, it sits on a private AI server in the school office.
The preschool build is on my projects page and you can run it yourself. It was made for a preschool with two branches, which is the size where the head of school is still reading other people's reports personally. A single large school with its own administrative team usually wants admissions and staff records done before the reports.

Questions people ask
Can AI write parent reports for a preschool?
Yes, from a teacher's voice note at the end of the day. Each child gets a separate, specific note in the school's own tone. A teacher reads and approves every one before it is sent, so the school stays answerable for what the parent receives.
Will parents know a computer wrote it?
They receive what the teacher approved, written from what the teacher actually said about their child. The purpose is to remove the typing and keep the judgement. Anything the Agent is unsure about is left for a person to write.
Is it safe to put children's data into AI?
It depends entirely on where the AI runs. On a machine in the school office, photographs, notes and parent numbers stay in the school. I document which records are read and who can reach them. Your legal advisor judges compliance under the DPDP Act.
Can it handle admission enquiries on WhatsApp?
Yes, on the school's own number. It answers timings and the information you allow it to give, offers a tour slot from the head's calendar, and writes every enquiry into one list with the parent's question attached.
Do teachers need training to use it?
No. A teacher sends a voice note, which is something she already does. Eighteen people in my own studio use systems like this daily and none of them attended a training session. If a system needs a manual, I have built it wrong.
What does this cost a school?
A quote comes after the audit, with each piece named in it. What moves the number is how many branches and classes are involved, how much staff record keeping is still on paper, and whether the school already owns a computer the system can sit on. Nothing is charged per teacher or per child.
Can it work for a daycare or a single branch?
Yes. A single preschool or daycare is the simplest version of this and usually starts with the evening report alone. Two branches is where the head of school feels it most, because she can no longer read every note herself.
