Reports and records
A voice note in,
the finished report out
Your staff already say what happened. The system writes it down, files it where it belongs, and asks a person before anything goes out.
Most reports are a second telling of work that is already done. A teacher, a supervisor or a safety officer says what happened, and the writing, the filing and the sending happen on their own.
It works from a voice note, or from a short set of questions answered in a chat. The model understands what was said. Code underneath it checks that the names, the numbers and the dates are right, and fills every field the format needs. Hindi, English or both in the same sentence. Nothing is sent until a person has seen it.
One voice note at the end
A preschool teacher speaks once at the end of the day. The class report, the note to parents and each child's running record are written from that one recording.
Photos taken on the spot
A safety officer answers a twenty-point checklist inside the chat. The camera opens in the chat itself, so a picture from last week's gallery cannot be sent instead.
Hindi, English or both
Staff speak the way they speak. The report comes out in the language the reader needs, written in full sentences rather than handed over as a transcript.
It files the report itself
The finished report goes where it belongs: the folder, the sheet, the parent's message thread or the office inbox. Nobody renames a file at the end of a shift.
A person signs it off
The Agent asks before it sends anything to a parent, a client or an office. What it wrote and what it sent are both written into a log you can read.
No monthly software subscription
It is built once and runs on a computer and on accounts you own. Putting more staff on it does not change what you pay each month.
What a report from a voice note actually looks like
A preschool with two branches had teachers writing up the day after the children had gone home. Now a teacher talks into a voice note on the way home. Out of it come three things: the class report for the day, the note that goes to parents, and the running record kept for each child. Each one is written for its own reader. The teacher reads them, corrects anything that is wrong, and approves. You can open that one on the projects page.
A film and TV set safety company had the opposite problem. Their officer is on a set, not at a desk. He answers a twenty-point checklist in a chat, and the camera opens inside the chat, so the photo has to be taken where he is standing. An older picture from the gallery will not go through. The written report reaches the studio after pack-up, with the pictures attached in order.
- A voice note, or a chat the staff member already has open
- Photos taken through the camera in the chat, not picked from a gallery
- One telling, several documents, each written for its own reader
- A review screen before anything leaves the building
- The record filed in the folder, sheet or thread it belongs in
Where this is worth doing, and where it is not
It pays for itself where the same facts get written out more than once. A daily report that also becomes a parent message and a file note. A site check that also becomes a client report. A handover note that also becomes tomorrow's task list. The person doing the work already knows the facts. The cost sits in the typing.
It is the wrong choice where the writing is the thinking. A proposal, a design rationale, a legal letter or a difficult reply to a client should be written by the person who owns it. I will say so in the audit, and the list of things to leave exactly as they are is part of what you get from it.
What I need from you to build it
Three things. One finished report of each kind you want, written the way you want it to read. A list of who receives what. And access to wherever it should be filed, which is usually a Drive folder, a Google Sheet or a WhatsApp thread you already use.
Then I build it against your own examples and run it alongside the old way for a while, so you can compare the two reports side by side before anyone relies on it. The staff keep sending the same voice notes they already send, which is why nobody needs a training session. It works the same way as the other Agents I build inside the apps a team already uses.
What a reporting build is quoted on
There is no rate card. The quote follows the audit and names each report being built, who receives it, where it gets filed and what the handover includes. There are no figures on this page because two companies with the same pile of reports can need completely different builds.
Four things move the number: how many documents come out of one telling, how strict the format has to be, whether photographs or sign-offs are part of the record, and whether it runs on a machine in your own office or on an account you own. The schedule comes with the quote. Anything I do for you after the handover is priced on its own and is not required for the system to keep working.
How it runs
- 01
Audit
I sit with the people writing the reports and read what they have already written. You get the list of reports worth building.
- 02
Design
We agree the wording, the fields and the reader for each report, and you sign off a sample before anything is built.
- 03
Build
I build it against your own examples and run it with one team while the old way carries on, until the two match.
- 04
Handover
Training with the staff who speak into it, then the code, the accounts and the records are yours.

Questions people ask
How much does a report automation system cost?
There is no fixed price. The quote comes after the audit and names each report, its reader and where it gets filed. What moves it is how many documents come out of one telling, how strict the format is, and whether photographs or sign-offs are part of the record.
Can it write the report in Hindi?
Yes. Staff can speak Hindi, English or a mix of both, and the report can come out in either. I test it with your own staff speaking normally rather than reading from a script.
What if the voice note is unclear or wrong?
The person who spoke sees the draft before it goes anywhere. Where a required field is missing, the system asks for that one thing instead of guessing. Nothing reaches a parent or a client without a person approving it.
Does the recording leave our office?
That is your choice. It can run on a computer in your own office, in which case the recording and the report stay on it. Otherwise it runs on accounts you own. Either way I write down where each file sits and who can reach it.
Can it stop staff sending an old photo?
Yes. The camera opens inside the chat, so the picture has to be taken at that moment in that place. One chosen from the gallery is refused. That is how the set safety checklist works.
Will a supervisor or a teacher put up with it?
No. They send a voice note or answer questions in the chat they already have open. There is no new screen to log into. At my own studio eighteen people use systems built this way and none of them sat through a training session.
How long does it take to set up?
The schedule comes with the quote, after the audit, because it depends on how settled your report formats already are. Builds usually start with one report and one team rather than every document in the company at once.
